Step 8 of 8

Your data: what Yeam keeps and what it doesn't

Yeam keeps the claim details it needs to track your deadlines. It never stores a patient's name, member ID or date of birth.

The free worklist runs in your browser and keeps nothing. The paid product keeps each claim's number, payer, codes, amounts and dates, encrypted, so it can track your deadlines. Patient name, member ID and date of birth are dropped at upload and never stored. Live claim data runs only under a signed BAA.

What Yeam keeps for each claim

  • Claim number, payer and claim status
  • Procedure (CPT), diagnosis (ICD-10) and denial reason (CARC) codes
  • Billed, allowed, paid, adjustment and patient-responsibility amounts
  • Dates of service, submission, remittance and denial
  • The work your team does on it: notes, follow-ups, drafted letters and when each was sent

It keeps these so it can count your deadlines, rank the worklist and show how each payer pays.

What it never stores

A patient name, member ID, subscriber ID, date of birth, SSN, MRN, patient address, phone or email. A column whose name names one of them is refused when the file is read, before anything is saved, and the upload preview lists every column it skipped. No part of the app has a place to hold one.

Patient details in a letter

Drafts leave blanks for the patient’s name, member ID and date of birth. You fill them in Complete the letter, in your browser, and those values never reach Yeam. That is why a saved letter keeps its brackets.

Notes

Notes and drafting instructions are saved as you type them. Keep patient names and member IDs out of them. Write “the patient” instead.

What leaves Yeam

  • Drafting sends the claim’s payer, codes, amounts, dates, claim number and your note to Google’s Gemini API, on the paid tier, where Google does not use it to improve its products.
  • Code checks send payers, procedure and diagnosis codes, outcomes and amounts to TypeSafe.
  • Neither receives a patient identifier from your file. Your note goes as you typed it, which is one more reason to keep names out of it.

Removing data

On Connect data, under What you have imported, the trash icon removes a file and everything drafted from it. When you upload a newer A/R file, Yeam stops reading the older one, so nothing is counted twice. When you close your account, email info@yeam.ai and we delete what is left, except records the law makes us keep, like invoices.

Before you use real claims

Claim numbers and dates of service are protected health information under HIPAA, even with names removed. So live claims wait for a signed business associate agreement (BAA) between your company and Yeam. Until then, use the practice file or other made-up data. Security and BAA has the detail.
